What is myData?
myData is an online faculty database developed and hosted by Digital Measures customized for UC Irvine. It is a tool that assists faculty members to track their teaching, research and service activities.
Who is Digital Measures?
Digital Measures was founded in 1999 with the implementation of an online course evaluation system within the University of Wisconsin-System. They provide solutions to manage information for higher education, making it a more powerful and simplifying process. Their web-based solutions are used by more than 1,500 schools and colleges in more than 25 countries.
Who is using myData?
myData has now been licensed for use by Senate Faculty in all schools.
What are the advantages to using myData?
Faculty will be able to store all their scholarly works in one database. Once information has been initially uploaded by a data analysts in the Office of Academic Personnel, faculty will only need to update their information in the database periodically. Because this is an online database, faculty or an assigned staff member will be able to access the database at anytime to update information or generate various reports from their database which will display information in the most up to date format. Digital Measures is also exploring alternative ways for faculty to upload publications from new sources and are constantly working on new innovations to intuitively assist the end user.
How secure is the data?
The Office of Information Techonology (OIT) has ensured that our contract with Digital Measures requires that they follow UC Irvine’s security guidelines.

  • UCI’s WebAuth service is used to log into Digital Measures
  • No UCInetID passwords are disclosed to Digital Measures
  • Digital Measures complies with UC’s IS-3 Electronic Information Security requirements
  • Digital Measures trains its personnel to protect UCI information.
  • Digital Measures system software is kept up-to-date in order to protect against security vulnerabilities
  • Digital Measures implements measures to detect, prevent, and respond to attacks, intrusions, or other system failures
  • All data collected over a 128-bit SSL-encrypted connection
  • Servers are stored in an IBM-owned and managed datacenter
  • Locked, caged server room protected by armed security guards who are present at all times
  • Servers are firewalled and located behind an intrusion detection system
  • Redundant fire suppression and climate control systems used at all times
  • Redundant power and Internet connections
  • Secure nightly backups to five geographically-dispersed locations owned by IBM and Iron Mountain
  • Digital Measures is compliant with the Family Educational Rights and Privacy Act (FERPA) and the Americans with Disabilities Act (ADA)
  • Download a full copy of all of your data at any time as often as you like; even put a secure process in place to do this on an automated basis
How do I get started?

At this time, we are only creating new myData accounts for senate faculty (i.e. Assistant Professor, Associate Professor, Full Professor, Professor of Clinical X, Lecturer SOE/PSOE and Senior Lecturer). If you are a new senate faculty member, please login with your UCI Net ID and Password by visiting http://test.ap.uci.edu/mydata.

In order for staff members to gain access to myData, we require that faculty send an email to mydata@uci.edu stating that they would like to grant permission to their staff member to access their myData account. Faculty must include full name and email address of staff member.

Entering Data

Do I have to enter information in all fields?
Only complete the data fields you need to present – not all the fields must be completed. However, dates should always be provided to make sure that your information will appear on the date-delimited reports (e.g. Review Profile).
I have an award that is not listed on the drop down box in the “Awards/Honors” field.
For awards/honors not listed in the drop down box, please select “other” and note the name of the award/honors in the “Explanation of Other” field box.
How can I enter information on graduate students and undergraduate students to appear under the correct headings on the Review Profile report?

Refer to the following tips for entering information on student/postdoctoral/visiting supervision to appear during the review period:

Information will show up under: “(a) those who received their Ph.D.”

  • Select “Doctoral Candidacy Committee” or Doctoral Committee” as the Involvement Type
  • Select “Completed” as the Stage of Completion
  • Enter “Date Started” or “Date Completed” that falls within the review period.

Information will show up under: “(b) those who advanced to candidacy”

  • Select “Doctoral Candidacy Committee” as the Involvement Type
  • Select “Advanced to Candidacy” as the Stage of Completion
  • Enter “Date Started” or “Date Completed” that falls within the review period.

Note: It is helpful to insert the “Date of Advancement to Candidacy”, especially for your own students, but the advancement date is not the determining date for the Review Profile report.

Information will show up under: “(c) pre-dissertation committees”

  • Select “Predissertation Committee” as the Involvement Type
  • Enter “Date Started” or “Date Completed” that falls within the review period.

Note: The Stage of Completion will not alter where the data appears.

Information will show up under: “(d) other doctoral research supervision”

Select either:

  • “Doctoral Candidacy Committee” as the Involvement Type and “In Progress” as the Stage of Completion or
  • “Doctoral Committee” as the Involvement type with either “In Progress” or “Advanced to Candidacy” as the Stage of Completion
  • Enter “Date Started” or “Date Completed” that falls within the review period.

Information will show up under: “Master’s Thesis Students Supervised”

  • Select “Master’s Thesis Committee” as the Involvement Type
  • Enter “Date Started” or “Date Completed” that falls within the review period.

Note: The Stage of Completion will not alter where the data appears.

Information will show up under: “Postdoctoral Scholars Supervised”

  • Select “Postdoctoral Research Supervision” as the Involvement Type
  • Enter “Date Started” or “Date Completed” that falls within the review period.

Note: The Stage of Completion will not alter where the data appears.

Information will show up under: “Undergraduate Student Research Supervision”

  • Select “Undergraduate Honors Thesis” or “Undergraduate Research Supervision” as the Involvement Type
  • Enter “Date Started” or “Date Completed” that falls within the review period.

Note: The Stage of Completion will not alter where the data appears.

Information will show up under: “Other Research Supervision”

  • Select either “Directed Individual/Independent Study,” “Internship,” “Visiting Scholar” or simply make NO selection for the Involvement Type.
  • Enter “Date Started” or “Date Completed” that falls within the review period.
